
TERMS & CONDITIONS
By registering for the Paparoa Ultra, you confirm that you have read, understood, and agree to be bound by these Terms & Conditions.
1. EVENT CANCELLATION & FORCE MAJEURE

If the organisers are forced to cancel the event due to public health measures or an act from authority on or before 28th January 2026, all entries are refundable less a 10% admin fee.

In the event of extreme weather or other circumstances beyond the organisers’ control, the Organising Committee reserves the right to delay or cancel the event. If the event is cancelled entirely, the organisers will issue the maximum refund possible, at their fair discretion.

If the event can proceed but travel restrictions or official directives prevent your attendance, you’re eligible for a 50% refund, subject to proof that you’re prevented by those circumstances.

We reserve the right to alter event details due to emergencies, weather, or official orders. You’ll be notified of changes and may decline; if you do, you'll be refunded the entry fee minus a 10% admin fee.

In case of severe weather, or other uncontrollable events, organisers may need to modify or cancel the race. Any refunds in such scenarios are at the organisers’ fair discretion.
2. PERSONAL RISK & RELEASE OF LIABILITY

You enter at your own risk—including injury, illness, property loss, or other misfortunes.

The organisers, volunteers, sponsors, landowners and affiliates are not liable for any injury, loss, or damage arising from participation.

By entering, you agree to indemnify and hold harmless all parties involved in organising Paparoa Ultra.
3. RULES, BRIEFING & CONDUCT

For environmental reasons, the Paparoa Ultra field is limited to 130 competitors.
-
Entries will not be accepted from anyone under 18 years of age on race day.
-
You must attend the compulsory race briefing at 6pm on Friday 27th March 2026.
-
You must comply with all race rules, official instructions, and compulsory gear requirements. This includes registering & attending the gear-checks before the race briefing.
-
You must carry your compulsory gear at all times. Gear will be checked at registration and randomly on course at Ces Clark Hut. Failure to comply will result in disqualification or removal from the course.

You must wear your transponder on your shoe, and race bib on the front of your body at all times during the race.
-
You must run only on the marked course, respect the environment, and bring out all rubbish.
-
You must keep to the marked track at all times and failure to do so may result in disqualification.
-
Pacers are not permitted.
-
You must treat fellow competitors, volunteers, and officials with respect at all times.
-
If you encounter another participant who is injured or in serious difficulty, you acknowledge your duty to provide reasonable assistance and to notify race officials or marshals at the earliest opportunity, until appropriate aid is available.

You agree to abide by all event rules, guidelines, and directives issued before and during the event.
-
The transponder must be handed in at the end of the race.
4. USE OF IMAGE & PERSONAL DATA
By entering, you consent to your name, voice, image, race times, and results being used for event promotion, media coverage, and sponsor purposes without payment.
5. WITHDRAWAL & REFUND POLICY

Withdrawals on or before 31st December 2025: 90% refund (10% admin fee kept)
-
Withdrawals between 1st January 2026 and 31st January 2026: 50% refund.
-
Withdrawals between 1st February 2026 and 28th February 2026: 25% refund.
-
No refunds granted after 1st March 2026.
-
No refund will be granted if you fail to start, withdraw, or are removed from the event for any reason (injury, illness, gear non-compliance, missed cut-offs, etc.).

Your entry is non-transferable, both to other individuals and to future events. Photo ID may be requested.
6. SPECIAL REFUND PROVISIONS
-
Female entrants who withdraw due to pregnancy (with medical proof) between entry and race day will receive a refund of entry, minus the 10% admin fee.
-
Any entrants needing to withdraw due to a terminal illness (with medical proof) between entry and race day will receive a refund of entry, minus the 10% admin fee.
7. CUT-OFF TIMES & COURSE EXIT
Cut-off times are enforced at each aid station.
-
Missing any cut-off (as specified in race information) results in withdrawal from the event and you will not be allowed to continue under the timed event.
-
If you miss Ces Clark or Moonlight Tops cut-offs, you will return to Smoke Ho carpark with the marshals.
-
If you miss Pororari cut-off, you will walk with the marshal team to the finish line but will not receive a recorded finish time.
-
A non-life-threatening removal from the course may incur an evacuation or transport fee at the runner's expense.
-
Runners who do not complete the entire course within 11 hours will be deemed not to have finished the event.
8. WAITLIST POLICY
If you are offered a place from the waitlist, the entry offer will be valid for 48 hours. If accepted, you agree to pay the entry fee and comply with all event terms & conditions. If not accepted within 48 hours, the entry will be reallocated.
9. FITNESS ACKNOWLEDGEMENT

By entering, you confirm you're physically and mentally prepared for the Paparoa Ultra, and free from any condition that could impair your ability to safely complete the course within cut-offs.

When entering, you must provide details of previous running experience. Inadequate details may invalidate your entry.
-
Any changes to your health & fitness condition from entering until race day must be reported to us via email.
10. ACCEPTANCE
By submitting your entry, you confirm that you:

Have read and accepted all Terms & Conditions without exception.
-
Understand and accept all risks associated with participation.
-
Authorise the organisers to make final decisions regarding safety and race management.
-
Acknowledge that the Organising Committee reserves the right to refuse entry if it believes you cannot safely complete the race.
11. LEGAL RELEASE
Under no circumstances will the Organising Committee, sponsors, landowners, or any party associated with the Paparoa Ultra (including employees, contractors, and agents) be liable for:

Any loss, injury, damage, or death arising directly or indirectly from your participation in the Paparoa Ultra;
-
Any act, omission, error, or delay, whether negligent or otherwise, relating to the conduct of the event.
